MICROSOFT 365

Collaborate simply.Protect intelligently.

Microsoft 365 brings communication, files, identity, and security into a cloud service. Its value depends less on installation than on how it is configured, governed, and used.

  • Protected identities
  • Governed collaboration
  • Planned recovery

UNDERSTAND MICROSOFT 365

More than Word, Excel, and Outlook.

Microsoft 365 is a subscription service combining productivity applications, collaboration, identity, administration, and selected security capabilities. Available features vary by license. The goal is to let users work with the right information from approved devices without losing control of company data.

01

Communication

Exchange Online provides email and calendars. Teams adds chat, meetings, and calling.

02

Collaboration

SharePoint organizes team spaces. OneDrive manages personal work files and sharing.

03

Identity

Microsoft Entra ID manages accounts, sign ins, groups, and access rules.

04

Devices and applications

Microsoft 365 apps work on computers, phones, and browsers according to licenses and policies.

SHARED RESPONSIBILITY

Microsoft operates the service. You govern its use.

Microsoft protects datacentres, physical infrastructure, and platform operations. Your organization remains responsible for identities, data, devices, configurations, permissions, retention rules, and recovery decisions.

Microsoft responsibility

Physical infrastructure, service network, hosts, availability, and platform maintenance.

Shared responsibility

Applications, client devices, operational security, and selected capabilities according to service and licensing.

Business responsibility

Data, users, access, settings, classification, compliance, adoption, and continuity.

USER LIFECYCLE

An account must change with the user.

Security does not begin at sign in. It begins before arrival and continues after departure. Every stage needs an owner, approval, and evidence of completion.

  1. 01

    Before joining

The role determines required access, groups, devices, applications, and licenses.

  2. 02

    First day

The account is enabled, MFA registered, device prepared, and rules explained.

  3. 03

    Daily work

Access, guests, devices, alerts, and usage are reviewed according to risk.

  4. 04

    Role change

Old access is removed and new access approved to prevent accumulation.

  5. 05

    Departure

Sessions are revoked, the account blocked, data transferred, groups cleaned, and license recovered.

  6. 06

    After departure

Retention, deletion, and access to former data follow a documented decision.

COMMON RISKS

Cloud reduces some risks, but does not remove human error.

Many preventable incidents begin with an identity, permission, configuration, or process that is not properly controlled.

Compromised account

A stolen password can expose email, files, and contacts. MFA and access policies reduce this risk.

Excessive sharing

A public link or forgotten guest can expose information long after collaboration ends.

Excessive privilege

Too many administrators or permanent roles increase the impact of mistakes and attacks.

Poor offboarding

Without a departure process, sessions, devices, groups, file transfers, and licenses can remain active.

Insufficient recovery

Retention and recycle bin features do not always replace a validated backup and restore strategy.

Configuration drift

The service changes continuously. A sound configuration must be reviewed as features and usage evolve.

SERVICES INCLUDED

Configure, protect, adopt, and improve.

Service is adapted to the organization’s context, licensing, and risk. Paid capabilities are recommended only when they address a defined requirement.

01

Tenant assessment

Inventory identities, licenses, domains, policies, devices, sharing, and priority risks.

02

Planned migration

Email, files, and collaboration migrated in phases with testing, communication, and rollback planning.

03

Identity security

MFA, license appropriate Conditional Access, separate admin accounts, and controlled recovery methods.

04

Information protection

Classification, external sharing, retention, and data loss prevention according to needs and licensing.

05

Device management

Rules for business and personal devices, compliance, and access to company data.

06

Teams and SharePoint governance

Rules for creation, ownership, guests, expiration, archiving, and document structure.

07

Backup and recovery

Recovery objectives, data scope, protected copies, and documented restore testing.

08

Adoption and documentation

Simple guides, targeted training, ownership, procedures, and change tracking.

CHOOSE BY REQUIREMENT

The best license is the one that covers a defined need.

Names and feature bundles change. Business requirements should remain the starting point.

01

Productivity

Email, meetings, documents, and collaboration required by each user type.

02

Security

Protection level for identities, devices, email, and applications according to risk.

03

Compliance

Classification, retention, audit, discovery, and protection of sensitive information.

04

Management

Automation, devices, privileged access, and operations required by IT.

05

AI and Copilot

Use cases, data quality, permissions, adoption, monitoring, and licenses before activation.

RESPONSIBLE ROLLOUT

A successful migration changes habits, not only tools.

Rollout must protect data while giving users the time, explanation, and support needed to adopt a new way of working.

  1. 01

    Discover

Understand users, data, devices, applications, requirements, and constraints.

  2. 02

    Design

Define identity, security, collaboration, sharing, retention, backup, and governance.

  3. 03

    Pilot

Test with a representative group before changing the whole organization.

  4. 04

    Migrate

Move in waves, validate data, and communicate changes clearly.

  5. 05

    Adopt

Train around real tasks and provide simple rules when they are useful.

  6. 06

    Improve

Review alerts, licensing, access, guests, Microsoft changes, and usage outcomes.

FAQ

Common Microsoft 365 questions.

Does Microsoft automatically back up all our data?+

Microsoft protects platform availability and provides retention and recovery capabilities. The business must still define requirements, configure suitable policies, and decide whether separate backup capability is needed.

Is MFA enough to secure Microsoft 365?+

No. It is an important foundation, but must be supported by least privilege, managed devices, controlled sharing, monitoring, updates, and response procedures.

Does OneDrive replace a file server?+

Not automatically. Structure, permissions, collaboration, dependent applications, and offline needs must be assessed before migration.

Which license should we choose?+

The right choice depends on users, devices, security, compliance, calling, and management needs. Compare the capabilities actually required, not only price.

Can migration avoid work disruption?+

A well prepared migration greatly reduces disruption through inventory, pilots, migration waves, testing, and communication.

Who should govern Microsoft 365?+

IT administers the platform, but business owners must participate in decisions about data, sites, guests, retention, and acceptable use.
